Six jobs, one search term
Capturing a thought before you lose it. Fitting real work into a real day. Holding a team's shared knowledge. Knowing what a small group is each doing. Keeping a habit going. And, newest of the six, having an AI actually help with any of the above rather than just answering questions about it. Almost every "best productivity app" list picks one of these and quietly assumes it's the only one that matters.
The map
- Capture → Todoist or TickTick for the fastest natural-language entry. See the full task management breakdown.
- Fitting work into a real day (time blocking) → Fuidzy, free; Sunsama or Akiflow if you want a paid guided ritual instead. See the best time blocking app in 2026.
- Team knowledge and documentation → Notion, or Obsidian if you want to own the files locally. See the best Notion alternative.
- Small-group coordination without a dashboard → Fuidzy's shared Clans; Slack or Teams if it's a real company needing real chat. See the best Slack alternative for a small team.
- Habits → Loop (free) or Streaks (one-time) if you only want habits; built into the plan if you'd rather not open a sixth app. See the best habit tracker in 2026.
- AI-assisted planning → depends whether you want an algorithm deciding or a companion drafting. See the best AI planner app in 2026.
If you only install one thing this year
No single free app wins every row on that list, and this page won't pretend otherwise — Notion is still the better wiki, Todoist is still faster at raw capture, and there's no Fuidzy phone app yet. What Fuidzy covers is the largest number of these jobs adequately, in one screen, for nothing: real time-blocking, habits that forgive a missed day, small-group visibility with real privacy controls, and an AI that drafts rather than dictates — the four rows most people are actually missing once capture and documentation are already handled elsewhere.
Work out which of the six jobs you're actually missing — most people have capture covered and are missing the "fits in a real day" row. Pick the specialist for the job you have, or the one free app that covers the most of them at once.
